San Mateo County does its counter work in Redwood City and its remembering next door. The combined county agency at the county center handles deeds, the assessment roll, marriage records, and elections, with a free grantor and grantee search online; the superior court runs a separate name index for cases. Across the way, the old courthouse now houses the county history museum. Volunteers deepen the bench here: the county genealogical society has indexed early deeds, judgments, jury lists, and mortuary books, names no official portal reaches. Property now, cases now, people then. A San Mateo County residents directory search draws on all of it, mostly within a few blocks.

Start the San Mateo Resident Search

Begin with the clue that can be checked without guessing. An address belongs in the County Property Information Portal or GIS. A known party belongs in the ACRE grantor-grantee index. A current voter checks personal status through the Secretary of State tool, while a court name belongs in the San Mateo Superior Court MIDX index. Older household research moves to library shelves and newspapers. San Mateo resident rolls work best as a sequence, because no single record proves identity, title, and occupancy at once.

Use the result as a lead, then test it against a second record. An assessor parcel may show a situs, APN, values, and a released mailing contact, but a mailing address is not proof that the named owner lives there. A deed establishes a transaction party, not every person at the property. A reverse directory may list a resident who never held title. Those limits make a careful resident lookup more useful than a long unverified name list.

  1. Search the County Property Information Portal or GIS by a normalized address. Save the APN, situs, jurisdiction, and any map or recorded-document cue.
  2. Use the APN and current parcel clue to identify the relevant deed or recorded instrument, then note its grantor, grantee, date, and document number.
  3. Check MIDX for a court name or case number, and use its wildcard option when a spelling or initial may vary.
  4. Use My Voter Status only for the voter’s own status, or contact Elections about a lawful Elections Code purpose.
  5. Move backward through city directories, the San Mateo Times, census schedules, Schellens abstracts, and a focused records request when an online trail ends.

That chain covers owners, parties, listed occupants, family links, and public affiliations without treating them as the same fact.

San Mateo Resident Records Offices

San Mateo County’s ACRE structure joins the Assessor, County Clerk-Recorder, and Elections functions, but each desk answers a different question. The Recorder’s grantor-grantee entry point helps locate instruments and parties. The Assessor connects an APN to a situs, assessment context, and map. Elections holds a purpose-limited registration file. The Superior Court, libraries, and state portals sit outside that ACRE chain.

Use the index for a lead, then ask the Recorder for the image, certified copy, or older book reference that fits the research question.

Note: The Redwood City counter is the practical fallback when an online index omits an older volume or does not expose a needed field.

Which San Mateo Record Fits

San Mateo resident records form a set of paths, not a universal name file. Choose the keeper by the question. Property evidence starts with the parcel. A court question starts with MIDX. A family event belongs with the Recorder or CDPH, subject to copy rules. A business or license filing may clarify an identity, but a filed business address is not a dwelling.

Use the records in that order when the starting clue is an address. Use the name-search route when a person is known, then anchor the result with an APN, case number, relative, business, or date sequence. The detailed street and historical workflows belong on their respective directory pages, while a one-person question follows the resident lookup route.

San Mateo Directory Property Fields

The parcel search is the strongest first move for a San Mateo address. County GIS and ACRE materials describe an address or APN method, map navigation, an identify tool, and layers for parcels and jurisdiction. Search a number with its street name, normalize the suffix and direction, and preserve the exact APN returned. The recent Property Information Portal upgrade is intended to streamline property information, tax assessment, and parcel-document access; active parcel datasets are exported daily.

Field or controlTypeWhat it does
Search / AddressAutocomplete textFinds a parcel from number and street; normalize suffix and direction.
APNTextUses the county parcel identifier, with punctuation tested in the live viewer.
Map navigationPan and zoomBrowses streets and neighboring parcel polygons.
Identify / select parcelMap clickOpens parcel attributes and available links.
LayersCheckbox panelShows parcels, jurisdictions, boundaries, and available reference layers.
Measure, basemap, printToolbar controlsProvides map context or output; exact controls vary by viewer version.
Parcel
A mapped land unit with a county identifier, often the APN.
Situs address
The taxable site address. It is not the same as a tax mailing address.
Legal description
The formal land description in a deed or map, such as a lot, block, tract, or older boundary call.
Index
A pointer to a record. The image or certified copy carries fuller proof.

A property result can show APN, situs, jurisdiction, land and improvement values, total assessed value, tax-year context, geometry, and linked maps. Do not treat the tax-mailing contact as proof of occupancy. Resolve the parcel first, then use the Recorder’s party index or another record family that answers the question.

County GIS details and parcel downloads are available through the San Mateo County GIS resource; the linked portal is a routing tool, not a resident roster.

Current San Mateo Resident Directories

Current sources in the San Mateo residents directory overlap, but they do not carry the same kind of person evidence. ACRE may connect a person to a recorded transaction or property parcel. Elections can verify a voter’s own status and can release a voter-file extract only for the purposes California law allows. MIDX supplies a court index. Libraries add current newspapers and licensed genealogy tools. The table separates those roles.

SOS and DCA searchesBusiness entities, license status, public contactsCalifornia state agenciesFree online tools with scope limits

The current San Mateo residents directory is strongest when each result retains its source, date, and record key. A court index entry needs a case number. A deed needs an instrument or image request. A business hit needs the entity number. A historical obituary needs the newspaper date and page. The citation is what lets a later researcher return to the custodian.

Note: A public contact directory for a city role can confirm an official position, but it is not residential evidence.

San Mateo Resident Directory Voter Limits

California My Voter Status is a personal check, not a public name directory. The form may ask for first name, last name, date of birth, and, when needed for matching, a California driver license or ID number or the last four digits of an SSN. The private match can return registration status, party preference, districts, vote-by-mail or ballot status, and election information. It does not publish those identity fields.

California Elections Code §2194 limits voter-registration information to election, scholarly, journalistic, political, or governmental purposes. The file may contain a name, residence and mailing address, registration date or status, party preference, precinct and district fields, and participation history. Signatures, full identification numbers, protected addresses, and Safe at Home addresses are not released. A lawful file request goes to San Mateo County Elections at 40 Tower Road, 650-312-5222, or registrar@smcacre.gov, with the current purpose certification and fee confirmed first.

California My Voter Status is the right route for a person checking personal registration. It is not a tool for building a neighborhood list. Historical great registers are a separate genealogy source and belong with libraries, archives, or Schellens extracts.

The My Voter Status form shows why a private identity check must stay separate from a voter-file request.

Use Elections for the governing access question, and never republish a purpose-limited voter extract as a general resident list.

San Mateo MIDX Adds a Court Trail

MIDX is useful when the clue is a court party, but it is an index rather than the complete file. Its modes are Case Number, Person, Business, and Filing Date. Person searches require at least two characters for first and last names, and an asterisk can support a wildcard spelling. Filing-date searches use a maximum five-calendar-day window. MIDX data displayed a July 18, 2026 refresh timestamp during the research inspection, so a result is periodic index data rather than a real-time file.

Search fieldRequired / formatUse
Case NumberMode-dependent; minimum five alphanumeric charactersBest stable key for a clerk or Odyssey request.
First Name / Last NameRequired in person mode; minimum two characters; append *Test initials, spelling variants, and wildcard endings.
Business NameRequired in business mode; minimum three characters; append *Find an entity or organization party.
Date From / Date ToMM/DD/YYYY; filing window no more than five daysNarrow a known filing period.

A typical result gives case number, caption, party names and roles, case type, filing date, and accessible event or index information. Odyssey may add a register of actions, hearings, and dispositions. Documents, addresses, medical or financial attachments, juvenile material, sealed cases, and protected identities may be absent. Save the case number before moving to the clerk or Odyssey.

The San Mateo Superior Court MIDX search is the county court entry point for a resident verification trail.

San Mateo County residents directory Superior Court MIDX index

Use the case number to ask for the right register or copy, because the index alone does not establish every event in the file.

Federal civil, criminal, bankruptcy, and appellate names use PACER and Northern District systems instead of MIDX. A federal result should be labeled federal and checked through its own case number and document rules.

San Mateo Vital Copy Choices

A vital record can confirm a relationship or event, but California does not open every certificate after one universal age threshold. Birth, death, and public-marriage records may be available as informational copies to a broader set of requesters, while authorized copies that can establish identity require a qualifying relationship and sworn statement. Confidential marriage copies go through the parties or a court order. Adoption records follow sealed-record procedures.

RecordCustodianAccess distinction2026 CDPH fee
BirthCounty Recorder or CDPHInformational versus authorized copy$31
DeathCounty Recorder or CDPHInformational versus authorized copy$26
Public marriageCounty Recorder or CDPHInformational versus authorized copy$19
Confidential marriageCounty ClerkParty or court-order pathStatutory fee
Dissolution certificateCDPH; court holds fileNarrow certificate, not the full decree$18

The county marriage application records requester name, signature, residence, contact details, copy type, Party A and Party B names, marriage date and place, and the requested relationship. The research file notes an older county PDF that prints $17 for a marriage copy, so the current fee should be confirmed before payment. County and CDPH mail or counter procedures differ. For an authorized mailed request, the sworn statement is notarized.

The California Vital Records overview provides the state fallback when a San Mateo event needs a statewide custodian.

Choose the copy type before ordering, and retain the event date, place, relationship, and payment details for a clear request.

Note: A certificate copy can document an event while an obituary, directory, or deed supplies the separate address clue.

Redwood City’s San Mateo Records Cluster

Redwood City is the county seat and the practical center for several record paths. ACRE sits at 555 County Center. The Superior Court’s Hall of Justice is nearby, the restored Old Courthouse houses the San Mateo County History Museum, and Redwood City Public Library holds county-history resources. That geography matters when a web search reaches a gap: the next step may be a counter index, a clerk retrieval, a library shelf, or an archive appointment within the same research region.

The county was created from San Francisco County territory in 1856. Older land and court facts may therefore sit in pre-1856 San Francisco, rancho, Spanish or Mexican land-grant, and federal patent material. Current parcel maps and daily exports sit beside older paper books, microfilm, card catalogs, and hand abstracts. The record trail gains depth by respecting those layers rather than assuming that a modern portal covers every year.

San Mateo Library Sources Beyond Web Search

The San Mateo Public Library California Collection reports city directories from 1907 to the present, including Polk, Haines, and other publishers. Reference staff can search by personal name, business, or street. The collection also holds San Mateo Times microfilm from 1901, Gazette and News Leader runs, 1920s and 1930s Sanborn maps, local map drawers, and mid-century clipping files. Reference contact is 650-522-7818 or smplref@plsinfo.org.

San Mateo County Libraries adds Ancestry Library Edition inside branches or on branch Wi-Fi, while HeritageQuest and HeritageHub are remote options for qualifying card prefixes. HeritageHub’s obituary and death-notice coverage reaches from 1704 to the present. These are access channels with different strengths: a licensed database may find a name, while a physical shelf reveals a missing year, an abbreviation key, a street section, or a local newspaper page.

The San Mateo Public Library California Collection points to the local shelf of directories, newspapers, maps, and clipping files used in local research. Call before visiting to ask about missing volumes, reverse sections, reproduction rules, and which Peninsula branch holds another city’s run.

San Mateo’s Schellens Research Bridge

The Schellens Collection is a local bridge between a current name search and older records. Richard Schellens extracted people from directories, great registers, county histories, books, and newspapers. Three Redwood City real-estate volumes include hand-drawn maps and Official Record references. SMCGS databases add early court minutes, lis pendens, judgment abstracts, jury lists, mortuary indexes, patent and deed registers, Sheriff sales, and tax sales.

This local quirk makes San Mateo family research unusually traceable: a hand abstract can turn a vague surname into a book, page, case, or instrument citation, even when the original collection is not name-indexed online. The index is a finding aid, not a substitute for the custodian’s original. Record the exact citation, then ask SMCGS, the Historical Association, or the County repository about access to the underlying book or file.

Colma’s mortuary and cemetery records add another local endpoint. The Driscoll books number 109 volumes from the 1890s into the early 2000s, with an SMCGS index in progress. An obituary or mortuary result can suggest relatives, dates, or a prior place, but a vital certificate or cemetery custodian remains the source for formal proof.

Historical San Mateo Resident Directories

San Mateo city directories form a practical historical resident directory from 1907 forward. Earlier evidence includes a 1905-1906 San Mateo City and County Directory, while the California State Library catalog identifies Spaulding-Bonestell and locality runs. Polk and Haines volumes may organize names alphabetically and then shift to a reverse, or criss-cross, section by street and house number. A directory listing can show a household, spouse, occupation, employer, telephone, address, or homeowner mark, but it does not prove title.

The full city-directory shelf includes digitized searches, the California Collection, SMCGS databases, Schellens abstracts, newspaper microfilm, and the Historical Association’s PastPerfect catalog. PastPerfect is incomplete: most archive holdings remain in an onsite card catalog. The San Mateo city directory collections page carries the long-form shelf and tracing method, while the current search uses those volumes as one historical layer among deeds, census, and obituary sources.

Protected San Mateo Records Need Care

Safe at Home can provide a substitute mailing address, mail forwarding, confidential voter registration, and protected interactions with agencies for qualifying survivors and reproductive-health personnel or patients. Courts restrict sealed, juvenile, adoption, victim, and confidential material. DMV personal information is separately limited. Public availability never authorizes a threat, doxxing, impersonation, or an attempt to defeat a protected-address program.

Lawful use. Use San Mateo records for family history, reconnecting, estate research, civic understanding, or personal safety awareness. Do not use a resident lookup to stalk, harass, intimidate, or harm anyone. Verify a result with the custodian before acting on it.

California’s Public Records Act, now in Government Code Division 10, lets any person request an identifiable existing record, subject to exemptions. The agency normally makes a determination within 10 days and may extend 14 days for unusual circumstances. Inspection is generally free, copies are charged at direct duplication cost unless another statute fixes the fee, and Government Code §7922.530 allows onsite photography within reasonable preservation and system limits. A focused request names the custodian, record series, date range, APN, case number, or instrument instead of asking an office to create a resident history.

Use the California Public Records Act guidance for request process and exemptions. The copy and inspection rule in Government Code §7922.530 is a separate reference point.

Official San Mateo Specialty Lookups

Specialty portals can resolve a name without claiming to be a residential directory. SOS bizfile may show an entity name, number, formation date, status, agent, filed addresses, officers, managers, Statements of Information, and filing history. DCA Search narrows by board, license type, license number, name, business, city, or county, then shows status, issue or expiration dates, public contact, and some discipline. The State Controller unclaimed-property search uses last or business name, first name, and city; a result is only a possible match until a claimant proves entitlement.

The California SOS bizfile search image illustrates a business-affiliation path in a San Mateo identity lookup.

A filed business address may belong to an agent, office, or mailing location, so it must stay labeled as business evidence.

The California Department of Consumer Affairs license search image shows a second official way to disambiguate a name by board or license.

Open the detail record to see whether the license is current; a search hit alone is not enough.

San Mateo Records Changed in 2026

Several timely changes affect a San Mateo records search. CDPH fees increased January 1, 2026 to $31 for birth, $26 for death, $19 for marriage, and $18 for dissolution certificates. Older county PDFs may still show the prior marriage amount, so download the current form before sending payment. The County GIS page reports a recent Property Information Portal upgrade and daily parcel exports. ACRE also reports a 2026-27 assessment roll above $357.6 billion and about 237,000 assessments each year.

MIDX now points users toward Odyssey for expanded case information, and its refresh timestamp demonstrates that an index can lag the clerk’s complete file. These changes do not turn the records into one unrestricted directory. They make it more important to save the date checked, the portal used, and the exact record key.
